1. Simplify sentences

  • Keep sentences short (15–20 words max).
  • Break long, complex sentences into smaller ones.

    Example:

    Before:

    The comprehensive framework and underlying methodology of the system has been extensively researched, designed and validated for maximal impact in modern environments.

    After:

    The system has been carefully studied, created, and tested to work well in today’s world.

 

2. Use bullet points

  • Bullets make content easier to scan.
  • Highlight important points without overwhelming readers.

    Example:
  • Provides quick access to key information
  • Helps users find what they need fast
  • Reduces frustration

 

3. Keep language clear

  • Avoid jargon or technical terms.
  • Use common words everyone can understand.
  • Use descriptive headings to organize sections.

4. Write in active voice

  • Active voice is easier to read and more engaging.
  • Example: “Customers find content quickly” instead of “Content is found quickly by customers.”

5. Use readability tools

  • Hemingway Editor: Highlights long sentences, complex words, and weak phrases/passive voice.
  • Readable check app: Gives a readability grade, checks sentence length, and suggests simpler words.

    Aim for a sixth grade reading level to reach the widest audience.

6. Optimize for SEO

  • Clear, readable content also performs better in search engines.
  • Focus on simple sentences, clear headings, and concise language to improve search ranking.

 

10 Plain Language Tips

  1. Write for your reader, not yourself.
  2. State main points first.
  3. Stick to one idea per paragraph.
  4. Keep paragraphs short.
