Tagging Documents

Similar to tagging a page, you can also tag a document to existing CT.gov topic(s), Agency navigation or Agency list(s).

You can tag a document at three possible levels:

 


Add a Document to CT.gov Topic

  1. Log into Sitecore.
  2. Right-click the Sitecore image Sitecore Platform icon in the top left of the screen and open it in a new tab.
  3. In the new tab, Select the Media Library Media Library icon icon.
  4. Using the Content Tree on the left, navigate to the document you would like to tag.
  5. Select the document. A blue box will highlight the document.
  6. On the right, in the Content tab, there is a yellow message notifying you to Lock and Edit to make changes.


  7. Select Lock and Edit. You can now edit the section.

  8. Scroll down and to the Topic Association section
  9. Under Topic Category, you will see all the categories under CT.gov.

  10. On the left, select the arrows expand sections to navigate down to the lowest level of the category in which you would like to tag the document. Make sure you go to the lowest level. You will know you are at the lowest level when you click on the arrow and no more categories appear.
  11. Double-click the category to move it to the Selected box. It will then appear in the Selected box area.

    • NOTE: You can also select the item and use the arrows to move the category over to the Selected box
    • You can also tag in more than one location by adding more categories.
  12. To Remove the category, double click the category under Selected and it will be removed.
    • NOTE: You can also move the category by using the arrows between the boxes.
  13. Select the Save icon Save icon at the top left of the screen.
  14. Select the Edit icon Edit icon to display drop down options and select Check in iconCheck In.
  15. Publish the document for the change to take affect. System Administrator ONLY.
    • NOTE: If you are a Content Author, you will need a System Administrator to publish the Media Library file to complete the process.

 

 


Add a Document to Agency Navigation

The following steps are similar to tagging to a CT.gov Topic

  1. Log into Sitecore.
  2. Right-click the Sitecore image Sitecore Platform icon in the top left of the screen and open it in a new tab.
  3. In the new tab, Select the Media Library Media Library icon icon.
  4. Using the Content Tree on the left, navigate to the document you would like to tag.
  5. Select the document. A blue box will highlight the document 
  6. On the right, in the Content tab, there is a yellow message notifying you to Lock and Edit to make changes.

  7. Select Lock and Edit. You can now edit the section.

  8. Scroll down and look for the Topic Association section
  9. Under Agency Categories, you will see the categories for your agency. This is your agency’s navigation.

  10. In Agency Categories, select the arrows to navigate down to the lowest level of the category in which you would like to tag the document. You will know you are at the lowest level when you click on the arrow and no more categories appear.
  11. Double-click the category to move it to the Selected box. It will then appear in the Selected box area

    • NOTE: You can select the item and use the arrow to move the item over to the Selected box.
    • You can also tag in more than one location by adding more categories.
  12. To Remove the category, double click the category under Selected and it will be removed.

  13. Select the Save icon Save icon at the top left of the screen.

Add a Document to Agency List(s)

In addition to tagging a document under CT.gov and your agency navigation, you can also tag to an agency list. System Administrators can create agency lists. If no lists display, the System Administrator has not created any for you to tag in.

  1. Log into Sitecore.
  2. Right-click the Sitecore image Sitecore Platform icon in the top left of the screen and open it in a new tab.
  3. In the new tab, Select the Media Library Media Library icon icon.
  4. Using the Content Tree on the left, navigate to the document you would like to tag.
  5. Select the document. A blue box will highlight the document. 
  6. On the right, in the Content tab, there is a yellow message notifying you to Lock and Edit to make changes.

  7. Select Lock and Edit. You can now edit the section.

  9. Under Agency Lists, you will see the lists available for your agency.
