Grant Processing
- Receiving and logging into the Criminal Justice Grants Database all grant applications received.
- Preparation of grant related information for use by the Undersecretary, the Criminal Justice Services Board and its subcommittees.
- Upon approval by the Criminal Justice Services Board (or Agency Secretary in some cases), issuance of grant award documents.
- Receipt of recipients’ signed acceptances of grants.
- Receipt of cash requests to draw down and disburse grant funds.
- Receipt and processing of grant recipients’ budget amendment requests.
- Receipt and processing of quarterly financial reports submitted by grant recipients.
- Receipt and processing of quarterly programmatic reports submitted by grant recipients.
- Receipt and processing of Annual Reports submitted by grant recipients.
The CJ Grants Database is essential to the ongoing financial administration of the Department of Justice grants managed by the CJPPD and the re-imbursement of funds from the federal government. The Database is 15 years old and was not originally developed to also serve as a Management Information System. In addition, the database is dependent on old technology and lacks the built-in functionality to provide pro-active management and decision support.
Over the course of the next two years, we will be moving toward re-building the Criminal Justice Grants Database to better serve both internal and external programmatic and fiscal needs. Ultimately, the vision is to move towards a paperless process that is web enabled and captures on-line grantee reporting with grant award status viewing capabilities.
