Submission and Request

Submitted and Released Requests

Once a Submission is accepted, the Division of Scientific Services (DSS) will issue the case a Lab or LIMS number.  Since on case or Lab number may require analysis by multiple disciplines, each analysis type will have a Request.

Agency Reps can search for their Submission in Portal and see a detailed status for each Request in the case.

  • Request Information - Agency Name and Rep
  • Request details - Analyst assigned and Status
  • Lab Request Notes
  • Make a Request Note suggestion, ask that the Request be paused of canceled
  • View the evidence, offense and individuals
  • View and download released reports

Incomplete

Incomplete

Once a Submission has been entered into Portal, it can be saved and modified by a Portal user as long as it has not been electronically submitted to the Lab.  In Portal this is categorized as an Incomplete Submission.

Submissions can be created and saved and then updated at a later time as needed.

Delivery

Submitted

Once the Submission has been electronically submitted to the Lab, it will remain in a staging area waiting for the agency to submit the physical evidence. In Portal this is categorized as a Submission.

Once the Submission is electronically submitted to the Lab, Portal users can no longer make edits or changes to the Submission.

When an agency delivers the physical evidence to the Lab, the electronic Submission is accepted in LIMS and assigned a Lab case number. 

In Progress

In Progress

Submissions that have been accepted by the Lab will be categorized in Portal as In Progress and will no longer be referred to as a Submission.

Since a Submission may contain requests for multiple types of analysis, the submitted information will be tracked by each analysis Request, rather than by the Submission.

Change Request

Suggested Updates

While a Request is categorized as In Progress, Portal users will be able to ask the Lab add notes, pause or cancel the Request. 

The Lab will make the final determination if the notes, pause or cancelation should be accepted.

Released

Released

When any of the Submission Requests are completed, the entire Submission will be displayed in Portal under Released.

  • Portal users will be able to view and download the reports for completed or Released requests.
  • The remaining In Progress requests can be viewed, but no reports will be available until the request moves from In Progress to Released.

View & Download Final Reports

When a Request has been completed and a Report has been released, users will be able to view and download the report.
